HeadBox reimagines its meetings & events platform for the AI era and expands to a further 100 global cities

HeadBox’s new Booker experience goes live for its enterprise clients with its intelligent platform that remembers and learns. Alongside accelerating its global rollout, HeadBox appoints Grace Louisy to head up its New York office.

Meetings and events just got an intelligence upgrade with HeadBox, the AI-smart platform that allows businesses to plan, book and manage their entire meeting and events program in one place. Today HeadBox launches a reimagined corporate booking experience built to remember, learn and personalize every event, alongside an accelerating global expansion that includes a strengthened New York office, with Grace Louisy, former HeadBox for Business UK Managing Director, stepping up to lead HeadBox, North America.

“Today the HeadBox platform moves from a system of record to a global system of intelligence for meetings and events, so every brief, sourcing decision and event adds to a memory that compounds,” says Andrew Needham, Founder and CEO of HeadBox. “It caps a transformational twelve months. We won two Business Travel Awards, Meetings and Events Partner of the Year and Technology and Innovation in Meetings and Events 2025, and three major enterprise clients in property services, telecoms and retail, with more to come. Now we’re bringing our unique, inspiring and iconic venues to 100 major new cities across the world over the next 6 months. This global footprint backed with major office hubs in New York, London and Sydney gives us a strong platform to service our growing global mandated enterprise customers”.

Intelligence beyond the artificial

Venue booking used to mean static search and manual admin. HeadBox’s new platform remembers each booker’s preferences and their company’s event history, so every recommendation starts from what they already like, not from zero. AI supports the whole journey, from qualifying the brief and sourcing venues to comparing proposals and booking, while HeadBox experts stay in charge of the judgement calls. An agentic layer qualifies, sources, and books smaller, repeatable events automatically – and it learns from each one: which venues the booker chooses, which reply, which proposals win and which events go ahead. So every event makes the next one faster and better matched, reducing workload and increasing efficiency.

“For event planners this means elevating their day-to-day roles by removing the administrative and operational work so they can focus on the things that really matter: creating exceptional events” Needham says.

In HeadBox’s beta phase, tested across all their major enterprise customers, every user described the new platform as a significant improvement on the experience it replaces.

“AI has transformed meetings and events,” said Gavin Spurling, Chief Technology Officer at HeadBox. “Legacy players can’t keep pace, and AI-first newcomers bring speed without expertise, which just means faster mistakes. We’ve chosen to be AI -smart. A decade of booking data helps turn our platform into a system of intelligence that remembers your team, your preferences and every event you’ve ever run, and learns from it.

The result is the intelligence of an AI-smart platform with the judgement of human experts, so every booking is faster, sharper and more personalized to the person making it”.

100 global cities, with a further 10 going live in North America today

HeadBox is going live in 10 additional North American cities today, (Washington DC, San Francisco, Austin, Philadelphia, Houston, Orlando, Montreal, Chicago, Boston and Las Vegas), building on its existing presence in North America, which the company is backing with its New York office.

“North America is the biggest meetings and events market in the world, and as more of HeadBox’s enterprise clients become global, we need to be there with them,” said Grace Louisy, Head of North America, HeadBox. “We’ve been managing and delivering meetings and events in North America, our fastest-growing region, for the last 5 years. So I’m delighted to be expanding our New York office and going live today in 10 more cities, with another 30 in North America coming onboard before the end of the year.”

HeadBox plans to bring unique, inspiring and iconic venues online in 100 cities worldwide over the next 6 months, doubling its footprint every three months, as it looks to stay ahead of its continued success in winning new globally mandated customers.
