Each year, The Boat Race brings together some of the UK’s most accomplished student athletes in a celebration of sporting excellence and tradition. For Cambridge University Boat Club, The Boat Race Dinner 2026 was designed to formally welcome the crews into the club and celebrate their achievements following months of training and competition.
On 4 April 2026, 360 guests gathered at Church House Westminster for an evening that combined celebration and community in one of London’s most distinctive event venues.
Sarah-Kate Roberts, Head of Philanthropy and Communications at Cambridge University Boat Club said:
“This was to be an ambitious gathering of our teams and organisers to celebrate together under one roof. The Assembly Hall’s glass dome and the prestigious setting right next to Westminster Abbey, overlooking the serene green in a location central for all, provided the perfect backdrop for the event we were so looking forward to” said the client.
A setting worthy of a historic occasion
When selecting a venue for the dinner, Cambridge University Boat Club required a location capable of accommodating a large guest list while maintaining the atmosphere and prestige associated with such an iconic sporting tradition.
Church House Westminster was chosen for its combination of location, scale and value, alongside the elegance and character needed to reflect the significance of the event. Situated in the heart of Westminster, the venue offered both convenience for guests and a backdrop aligned with the heritage and ceremonial nature of The Boat Race.
Roberts explained that the venue’s “location, price, and size” made it the ideal choice for the large-scale gathering; while also creating the celebratory atmosphere they wanted guests to experience throughout the evening.
Creating a seamless guest experience across two spaces
The event made use of two key spaces within the venue, each carefully configured to support the flow of the evening.
The Assembly Hall served as the main dining room, set for a 360-person seated dinner with tables of 12 guests and a stage block with lectern for speeches and presentations. The scale and grandeur of the room created an impressive focal point for the celebrations, while still allowing for a comfortable and engaging dining experience.
Alongside this, the Hoare Memorial Hall was transformed into a dedicated bar space, giving guests an additional area to gather, socialise and celebrate throughout the evening. The use of multiple interconnected spaces helped create a dynamic event experience while ensuring smooth guest movement during the dinner.
Roberts noted that the venue enabled them to “maximise the use of the space” while comfortably accommodating all 360 attendees.
Supporting a volunteer-led event
As an event organised largely by volunteers, flexibility and collaboration were essential throughout both the planning process and live event delivery.
The Church House Westminster team worked closely with organisers to help coordinate logistics, timelines and operational requirements, remaining adaptable as plans evolved in the lead-up to the event. This collaborative approach proved particularly valuable given the complexity of managing a large guest list and multiple moving parts with a volunteer-led team.
Roberts shared:
“Thank you to Grace and her team for all of the support, particularly in helping manage our many volunteers. We appreciate her patience and attention to detail.”
The events and production teams were also praised for their professionalism and responsiveness throughout the process, ensuring the evening ran smoothly from arrival through to the close of the event.
A formal dining experience for 360 guests
Guests enjoyed a three-course seated dinner carefully designed to complement the formality of the occasion while catering to a broad range of dietary requirements.
The menu included dishes such as pressed Devon scallop with tomato, basil and peach, alongside hen-of-the-woods mushroom with mushroom custard and bitter leaves. Main course options featured beef short rib with Szechuan crumble and smoked yoghurt, as well as potato dumplings with Norfolk peas, lemon and aged pecorino for vegetarian and vegan guests. Desserts included fruits of the forest with mulled summer fruits and vanilla cheesecake with umeshu plum carpaccio.
Despite the operational challenges associated with serving 360 guests in a busy live environment, the catering and service teams ensured the evening progressed efficiently and professionally.
Roberts commented:
“The service staff did an amazing job managing our event, especially due to the constraints for space and the size of our guest list.”
Flexibility and professionalism under pressure
As with many large-scale live events, last-minute adjustments and logistical challenges arose throughout the planning and delivery stages. However, the flexibility and understanding shown by the Church House Westminster team helped ensure these challenges did not impact the overall guest experience.
Roberts explained:
“Our event is meant to be led by volunteers and, as a result, some things didn’t happen according to plan. The event staff was flexible and understanding, working with our timelines to ensure the event was a success.”
This calm and solution-focused approach allowed organisers to remain focused on celebrating the crews and creating a memorable evening for attendees.

Reflecting on the overall success of the event, Cambridge University Boat Club praised both the atmosphere created within the venue and the professionalism of the Church House Westminster team.
